Booking and Financial Policies
Identification and Travel Documents
Identification: Guests must make reservations in the full name that is listed on the passport they will use for travel. If any name changes are needed after travel documents have been issued, clients are responsible for all applicable name change fees.
Passports and Visas: Passengers are responsible for ensuring they have proper travel documents and must check with the respective consulate or visa agency for requirements. Passports must be valid for at least 6 months after the date of travel. Information provided pertains to US citizens only; non-US citizens must validate requirements independently.
Financial Policies
Payments: Reservations can be made online using major credit cards.
Refunds: All deposits are non-refundable and non-transferable. This policy exists because of fixed contractual agreements with hotels, airlines, and other vendors.
Chargebacks: Before filing a dispute with your bank, you must contact customer service to discuss account resolution. Filing chargebacks may result in immediate reservation cancellation and may prevent future travel bookings.
Prices: All prices are per person based on shared twin room occupancy unless specified. Prices are correct at the time of publication but are subject to change based on airfare fluctuations and availability.
Travel Protections and Requirements
Travel Insurance: We highly recommend purchasing travel insurance that covers trip cancellation, interruption, and baggage loss. Travelers are required to select and purchase their own insurance for all tours.
Liability, Risk, and Legal Clauses
Release from Liability
Independent Contractors: The organizing entity does not own or operate the hotels, airlines, vessels, or transportation companies used during the trip. All such persons and entities are independent contractors.
Limitation of Responsibility: The agency is not liable for any negligent or willful act or failure to act of any third-party provider. This includes, but is not limited to, injury, loss, death, or delay resulting from acts of God, force majeure, civil unrest, terrorist activities, or mechanical failures.
Liability, Risk, and Legal Clauses
Hazardous Activities: Travelers acknowledge that travel involves inherent risks, including illness, injury, or death from natural forces, animals, or third-party conduct.
Medical Care: Travelers are aware that medical facilities may not be readily available or accessible during the trip. By participating, you accept these risks as an integral part of the adventure and authorize the organizers to arrange emergency medical treatment if necessary.
Physical Requirements: You confirm you have no physical or mental condition that would impair your ability to participate safely.
Legal Procedures
Binding Arbitration: Any dispute concerning this agreement or the trip itself shall be resolved exclusively by binding arbitration pursuant to the Federal Arbitration Act.
Participation and Media
Voluntary Execution: By signing or booking, you acknowledge that you have read and understood these terms and conditions and agree to them of your own free will.
Photographic Release: Participants grant permission for the agency to take and use photographs or videos of the trip for promotional or commercial use without financial compensation.
